Please DO NOT add any personally identifiable information – such as your name, NHS number, address or any other distinguishing detail – when using the site search function. The site search is intended to return information displayed on the website ONLY, and is not linked to our practice management system or your individual NHS records. Site search data is recorded in our analytics and cannot be deleted.
Group Clinic Privacy Notice
What is a Group Clinic?
A Group Clinic (also called a Shared Medical Appointment) brings together several patients with similar health conditions to receive care and advice from the clinical team in a group setting.
Each patient also has some individual clinical input, but some information may be shared with the group to support learning and discussion.
What Information We Collect and Use
During a group clinic, we may collect, use, and share the following types of information about you:
- Your name and date of birth (for identification and attendance)
- Details about your health condition(s) relevant to the group topic
- Information you choose to share during group discussions
- Notes made by clinicians about your care and treatment
- Audio or video (if the session is held online), only with your explicit consent
Your full medical record is not shared with other patients — only relevant information for the session is discussed.
Lawful Basis for Processing
We process your personal data under the following legal bases:
- Article 6(1)(e) – performance of a task carried out in the public interest or in the exercise of official authority (provision of NHS care).
- Article 9(2)(h) – processing necessary for the management of health or social care systems and services.
Your participation in a group clinic is voluntary. You can opt out at any time and continue to receive care through a standard one-to-one appointment.
How We Protect Your Privacy
We take your privacy seriously and ensure that:
- All group sessions are facilitated by qualified clinicians.
- Only information relevant to the group topic is discussed.
- Patients are reminded not to share other participants’ information outside the session.
- Any written materials or digital platforms used are secure and compliant with NHS data protection standards.
- For virtual sessions, approved NHS or GDPR-compliant video platforms are used.
Who We Share Your Information With
Your data may be shared (where necessary) with:
- Members of the practice clinical team
- Other NHS professionals directly involved in your care
- External providers (e.g., interpreters, health coaches, or facilitators) — only if necessary and under a data-sharing agreement
We do not share your information with other group participants beyond what is voluntarily discussed during the session.
How Long We Keep Your Information
Information from your group clinic attendance will be added to your medical record and kept in line with the NHS Records Management Code of Practice (usually for your lifetime as part of your health record).
